Administrative Assistant/Receptionist


Job Description

The Protestant Agency for Diakonia and Development is an international NGO and a member of the Action by Churches Together (ACT) Alliance. It supports food security, health and education projects implemented by local faith based and secular partner organizations in Ethiopia, Somalia, South Sudan and Sudan.

Together with its partner organization ICCO Corporation, Fair and Sustainable (F&S) and the All African Conference of Churches (AACC) it occupies offices in a common location and herby invites qualified applicants to apply for the following position:

Overall Responsibility

  • Provides a welcoming atmosphere by offering professional hospitality services to visitors, Registers guests, business associates and partners visiting the various offices of the above mentioned organization,
  • Provides and Receives information to visitors,
  • Assists them in finding the right person in the right office,
  • Handles incoming telephone calls, incoming and outgoing mail,
  • Provides routine administrative assistance.

Major Tasks:

  • Provides a welcoming atmosphere to visitors, business associates, guests, partners and staff,
  • Receives, registers visitors and provides appropriate information to inquiries,
  • Answer inquires and provides callers with requested information,
  • Forwards incoming calls to appropriate personnel
  • Provides secretarial services such as making travel arrangements (airlines, hotel reservations and car hire, organizing airport pick up, accommodations and transportation for guests, reserving restaurant, assisting in arrangements of events, etc.)
  • Maintains files as required according to organizational standards,
  • Handle incoming and outgoing mail,
  • Accepts other duties and responsibilities as assigned by the supervisor.

Reports to: PADD Office Manager

Job Requirements

Required

  • BA/Diploma in secretarial science and office management/ Administrative service management
  • Prior work experience for multi stakeholder office, international NGO or international organization

Desired

  • Diploma or Degree in information technology systems or information communication technology from recognized university/college

Experience

  • 4 years for diploma and 2 years’ experience for degree holders as Receptionist/Administrative Assistant or Secretary/Cashier

Competencies

  • Fluent language proficiency in written and spoken English
  • The ideal candidate will be professional motivated and enthusiastic
  • Highly organized and ability to multi-task, with excellent phone communication and computer skills, especially all MS office computer applications
  • Good interpersonal and customer care skills
  • Enjoys working in teams and with international people of diverse backgrounds
